This position is a blend of bookkeeping, office administration, and customer service. You will support the financial team by assisting with invoicing, data entry in NetSuite, vendor communication, and monthly financial reviews, while also maintaining a welcoming office environment and handling direct customer service responsibilities.

Position Responsibilities:
Financial Support & Bookkeeping
- Gather and organize financial documentation for accountants and tax teams
- Assist with categorizing transactions in the correct general ledger accounts
- Enter invoices, credit memos, and payments accurately in NetSuite
- Follow up with vendors and customers regarding accounts payable and receivables
- Monitor inventory related financial entries in NetSuite
- Collect and file W9 forms from vendors
- Participate in monthly meetings with accountants for financial reviews
- Maintain clear, legible, and accurate financial documentation
Administrative & Front Desk Support
- Serve as a friendly and professional point of contact at the front desk
- Answer and speak with customers on incoming phone calls, route calls as needed, and handle occasional walk-in visitors.
- Maintain an organized and clean office reception area.
- Provide general office and administrative assistance as needed
- Assist in overseeing and updating internal systems related to vendor, partner, or policy compliance documentation as part of routine administrative responsibilities
- Support other departments with clerical tasks as assigned
Desired Skills & Attributes
- Familiarity with bookkeeping software, ideally NetSuite (preferred, not required).
- Experience in bookkeeping or accounting support roles.
- Clear verbal and written communication skills.
- Friendly and professional demeanor for customer-facing tasks.
- Proficiency with basic office tools (email, spreadsheets, phone systems).
- Comfortable working independently and as part of a small team
- Occasionally, move between departments.
